The covenant community has gate security, neighborhood protocols, and resident expectations that need to be sorted before the truck shows up. We coordinate vehicle access lists with the homeowner or HOA security, plan load-in routes that don't disrupt neighbors, and arrive at the gate with the names matching the list. We do these with the same standards as the larger events: chef in the kitchen, server per table, sommelier-level wine service if the host wants it.

Questions From Rancho Santa Fe Hosts

The week before the event, you’ll send us your homeowner-approved vendor access list or coordinate with your security team directly. We provide all team names, vehicle information, and arrival window. On the day, our prep crew arrives at the gate, gets cleared through, and proceeds to your address via the route you’ve designated. We’ve done this enough times to know how to make it invisible to your guests and neighbors.

The Secret Garden is a dedicated event venue with the kitchen, restrooms, and infrastructure already built for hospitality. We work the venue’s existing kitchen and follow their setup protocols. A private estate is someone’s home, which means we bring more of our own equipment (prep tables, holding equipment, possibly a generator), stage out of the home’s kitchen if it’s available, and treat the entire setup like a private home rather than a venue. Both work; the operational details differ.

Yes to both. If you have a sommelier or a curated wine cellar you want to showcase, we design the menu around the wines and let the sommelier run beverage service. If you don’t have one, we’ll recommend pairings ourselves or coordinate with a wine consultant we work with regularly. Bar service from our team includes certified bartenders, beer and signature cocktails alongside the wine.

Yes. Kosher, halal, vegetarian, vegan, gluten-free, dairy-free, and allergy-specific accommodations are standard on every Rancho Santa Fe booking. For specific family recipes, cultural traditions, or religious dietary observances, we cook from the recipe or guidelines you provide. We’ve worked with families across many traditions; nothing is unfamiliar territory.

Yes. Small private dinners for 8 to 24 guests are a regular part of our Rancho Santa Fe work, particularly for executive hospitality, intimate anniversaries, and high-end family dinners. The team for these events is smaller and tighter: typically a chef, one or two servers, and a bartender if you want beverage service. The food and service standards are the same as we’d run at a 200-guest gala.

Estate weddings book 8 to 14 months ahead during peak season (April through October). The Secret Garden books on a similar timeline. Executive dinners and milestone galas typically have 8 to 16 weeks of lead time. Smaller intimate dinners can sometimes happen on 3 to 5 weeks of notice depending on our calendar. The earlier the call, the more our chef can build the menu around your specifics rather than fitting your event into existing structure.

The team works under nondisclosure understanding for events that require it. We don’t post event photos to social media without explicit permission. We don’t share guest lists, menus, or details with anyone outside the planning team. Our service staff is trained to keep operational chatter inside the kitchen and to never engage guests in conversation about who’s in attendance.
